[ For property and association managers ]
Owners approve. Vendors get paid. You have proof.
Keep every owner and association separate under one login. Owners and board members approve in the app, and every yes is on record. Sync checks to QuickBooks Online without retyping.
Checks draw on your existing bank accounts. Money never passes through us.
Every check needs someone's yes
Waiting on owners and boards
Owners and boards want to approve spending first. So you chase emails and signatures while vendors wait on you.
Many owners, many accounts
Each owner, property or association needs its own bank account, vendors and records. One mix-up can cost you a client.
Voids and gaps to explain
Owners, boards and auditors ask about voided checks and missing numbers. A paper register makes the answers hard to find.
Check fraud is common
Checks were the most targeted payment type in 2025. 58% of organizations reported check fraud (AFP Payments Fraud and Control Survey, 2026).
Faster approvals. A register you can trust.
Approval in a click, on record
Invite an owner or board member as an approver. They get an email and an in-app alert, and approve in the app. Each approval is logged with their name and the time.
Every owner kept separate
Set up each owner, property LLC or association as its own company. Each has its own bank accounts, vendors and register. Switch between them in one click.
A register you can explain
Check numbers run in order for each bank account and are never reused. Every void keeps its number and needs a reason.
Give your bank the list
Create a Positive Pay file of the checks you wrote and upload it to your bank. Your bank can then flag checks that don't match. Formats are built in for Chase, Bank of America, Wells Fargo, Citi, U.S. Bank, PNC, Truist and Regions.
From vendor invoice to approved check
- 01
Set up each owner
Create a company for each owner, LLC or association. Add its bank account and starting check number, and import its vendors.
- 02
Invite owners and board members
Add them as approvers for just their company. Set rules by amount, like a second approval step over $5,000.
- 03
Write and attach
Write the check and attach the vendor invoice or work order. Submit it, and the approver gets an alert.
- 04
Print and sync
Print approved checks on blank check paper from your own printer. Then sync them to that owner's QuickBooks Online company.
Owner books without retyping
Connect each owner's or association's QuickBooks Online company. Import their vendors in one click. Set each vendor's expense account once, like Repairs and Maintenance. Then sync approved checks one at a time, by vendor, or in a batch. A check with an invoice number goes in as a paid bill. So month-end starts without a stack of checks to retype.
Questions, answered
Can a board require a second approval over a set amount?
Yes. Set a rule so checks over the amount you pick get a second approval step. Send that step to a board member you name. You can add up to 20 steps. Each approval is logged with the name and time.
We manage many owners. What does it cost?
The Bookkeeper plan is $39 a month for 5 companies, with unlimited checks. Each extra company is $5 a month. Each owner, LLC or association can be its own company.
How are owners' bank numbers protected?
Routing and account numbers are encrypted when you save them. They can't be changed later, and screens show only the last 4 digits.
Do owners and board members need special software?
No. They need a Check Terminal login and a web browser. When a check is waiting, they get an email, open it and approve or reject it.
Get approvals done before vendors call.
Set up your first owner or association today. $39 a month covers 5 companies, then $5 a month for each extra.
