Where client check runs get stuck

Chasing approvals

Checks sit on the owner's desk waiting for a signature. Meanwhile, vendors call you asking where their money is.

Typing every check twice

Each check gets keyed into the client's QuickBooks after it's written. Mismatches show up at reconciliation and hold up the close.

No clean proof of approval

When a payee or amount is questioned, you need proof the client said yes. Texts and email threads are hard to dig up.

More clients, same team

Every client pays bills a different way. Each new client adds more check work for the same team.

what changes

Less chasing. Faster closes. Cleaner books.

Approvals without phone tag

Your client gets an email and an in-app alert when a check needs them. They approve it in the app from any browser. Only approved checks print.

Client books without retyping

Sync approved checks to the client's QuickBooks Online with the same number, date, amount and vendor. When the check clears, it's ready to match.

Proof of who did what

Every check records who prepared, approved and printed it, with the time. When a client asks about a payment, you answer in seconds.

One routine for every client

Switch between clients in one click. Each keeps its own bank accounts, vendors, check layout and approval rules. Take on new clients without a new process.

how it works

How a client check run works

  1. 01

    Add the client

Create a company for the client with their bank account and starting check number. Import their vendors from QuickBooks or a spreadsheet. Upload their signature once, if their bank allows printed signatures.

  2. 02

    Invite the client as approver

Invite the owner as an approver for just their company. Set rules by amount or vendor, like a second approval step over $5,000.

  3. 03

    Prepare and submit

Write the checks, attach the bills and submit them. Your client gets an alert and approves in the app.

  4. 04

    Print and sync

Print approved checks on blank check paper from your own printer. Then sync them to the client's QuickBooks Online in a few clicks.

Clean client books, no retyping

Connect each client's QuickBooks Online once and bring their vendors over in one click. Sync approved checks and they land in the right expense account, with no retyping. Add an invoice number and the check pays the matching bill, or creates it and pays it. If a check can't sync, you see what to fix before month-end. If a synced check is deleted or voided in QuickBooks, it's marked so you can sync it again.

faq

Questions, answered

How do my clients approve checks?

Invite the client's owner as an approver for just their company. When a check is waiting, they get an email and an in-app alert. They open it in any browser and approve or reject it. A rejected check comes back to you as a draft.

Is each client kept separate?

Yes. Each client company has its own bank accounts, vendors, check layout, approval rules, team, register and activity log. Invite a client to just their own company.

What if a client isn't on QuickBooks Online?

Export their check register as a QuickBooks Desktop (IIF) file, a Xero CSV, a CSV or a PDF. Then import it into their books.

What does it cost as we add clients?

Bookkeeper is $39 a month for unlimited checks across 5 client companies. Each extra company is $5 a month. A flat price per client is easy to build into your bill pay fee.
